Rental Contract Manager

It has taken us a lot longer to develop this than we expected but from the 1st October 2025 it will be operational, and free to use by all our existing clients, as well as all new clients who sign up to use our services before the 31st December 2025.

The feature is activated on a per property basis, and the maximum number of days for short term rentals is also set on a per property basis, as you may have properties in different geographical areas with different local regulations.

Example:

A. Your maximum short term vacation stay is 10 days (such as Valencia region in Spain);
B. Any bookings that are added to our system that are for 11 to 364 days, the rental contract module will be automatically created for the period of the booking you add to our system;
C. The lead guest will receive a slightly different guest registration form.
D. Our system captures their personal data, and pushes that data into the rental contract template that you have created within our system;
E. They are sent an electronic copy (which is NOT editable by them) for their signature via our new sign-on-glass system feature;
F. Once signed by the lead guest, our system will notify you and updates the status in a new column in the main bookings screen
G. Should you accept their signature, then you the owner/manager will sign-on-glass also via our system;
H. Finally you will both be sent a copy of the signed contract, a copy of which can be downloaded from our main bookings page as shown 

There are some basic steps to set this up in your account:

1. Create your rental contract templates, you can have many

2. Create/edit your signature via our new sign on glass feature

3. Activate rental contracts for use on your property/s

4. Choose contract type based on the guests length of stay

Where To Create/Edit Rental Contracts

You will see a new main menu option in the left side our screen, please choose "Contract Templates". 

This in turn will take you to a new screen asking if you would like to use our own Rental Contract Template, written by our own lawyers for the Spanish short/medium term rental market. This MASTER template is always shown at the top of the list, this is set as default.

The default rental contract template can not be edited, so should you need to use your own contract templates then you are free to do so, and you can contact our help desk to help new users to this feature.

How To Create Your Own Contract

In the above screen we have provided all the variable data fields that are required to push your lead rental guest details into editable contract content you should paste below this variable data we have created for you as shown above. 

You should NOT delete this html text, but you can add additional variable data fields should you wish to.

Create/Edit Your System Signature

From your "My Account" option in our main menu, please select the top tab called "Signature" where, if you have already created a signature, you can update it, or you can create your 1st one here.

Should it be your 1st one, as soon as this page loads, if you have a touch screen laptop, then the sign-on-glass feature is activated, and you can create your new signature.

It would be better to access this page via a tablet or your phone to use the sign-on-glass feature. 

We will add soon the ability to upload your signature as .png or .jpg 

Activating Rental Contracts For Specific Property/s

To activate the rental contracts on a per property basis, please choose "Properties" from the main menu, choose to edit the property of your choice, and now at the bottom of the property profile page, you will see an option for "Rental Contract Manager"

Once you click the button, so it goes Blue, then you will be asked 2 additional questions:

1. Number of days a booking needs to be for, in order to auto activate the rental contract chosen in the next field
2. Choose the rental contract template from the list you have created, as you might have different contracts for different properties if you are a property manager.

After you click "Update" the rules for the rental contract manager will automatically be applied, the following automated process will start:

A. Our system will send a link to a slightly different secure Guest Registration Form to your lead guest to complete. 

B. Once completed they will be sent the auto completed rental contract for them to sign-on-glass 1st;
C. The owner/manager signature which is already configured in our system will be added automatically 2nd;
D. A copy of the live rental contract will be emailed as a PDF file.

Booking Screen - Rental Contract Status Updates

When you start using this feature for your short/medium term guests/tenants, it will automatically activate 2 additional columns in the same main Bookings screen within our system, as shown above, these will be:

1. Contract Status - This will show the status of your contracts in the system where you have added a booking as normal.
2. Contract - This is the finalised (signed) rental contract to download as and when the owner/manager wishes.
