Provisioning workflow for multi property managers

Introduction

For property managers who typically have 5+ properties we have some great features with more coming all the time to help you to get your business and all its properties connected to SES Hospedajes fast and in various different ways:

  1. Property Manager account available without your own SES account
  2. Properties registered under your own DC & SES Hospedajes account
  3. Properties registered under your owners DC & SES Hospedajes accounts
  4. A mixture of both 2 & 3 options together as shown in the diagram below:

The sesadmin.net system can do all of it and remove the guest registration process from your property management platform if you use one, thus keeping the lines of separation, neatly as follows:


A. Guest makes booking on OTA such as Airbnb, booking.com, Micazu, VRBO
B. OTA's are connected to a PMS if you use one Lodgify, Smoobu, Hostaway..

C. PMS's connect into sesadmin.net via iCal feed or a full API Integration
D. sesadmin.net pulls booking data, send to authorities & start guest coms
E. Guest completes registration data collection process with digital signature

F. sesadmin.net collects, stores and submits all data to your SES Accounts

Set Up Process

  1. To start the process to get you registered if not already, we need to collect some data from you, which we do securely after you have registered a new account by going to sesadmin.net/register
  2. On the initial registration form you will be asked if your a professional property manager, please tick this box or email [email protected] and ask to have your existing account converted to a property managers account, this will activate additional features for you.
  3. You will then be asked if you have your own SES Hospedajes account, if you choose no ONLY property managers are provided with an account that does not have to be verified with SES Hospedajes directly, see item 1 at the top of this page as to what account type you are in SESAdmin.
  4. Should you already have your own SES Hospedajes account then follow the additional steps below:


  • You then follow the on-boarding questions to determine where you are in your SES hospedajes registration journey. This may result in your ordering your Digital Certificate and or your SES Hospedajes account registration (including your 1st property) through us also, or it may not.
  • Once we have organised your DC and or setup your SES Hospedajes account, it will generate a special username ending with WS and an 8-10 character password for it via an email from SES Hospedajes, which also gives your renter code this information must be sent to us via [email protected] 


Required Information 

The information that is required to get all your properties setup is pretty much the same as everyone else, but there are various way we can get the property data, the easiest way is for you to complete our Property Spreadsheet template, as most Property Managers have this information in spreadsheet format already.


We can import this spreadsheet to our system for you, and depending on which type of property managers account you have with us, will depend on what information we need in the spreadsheet template we will send to you. 

Should you have your own SES Hospedajes account and you have registered all your clients properties under your own DC/SES Account, then we are able to "Pull SES Properties" from the SES Hospedajes system directly, to do this we need your:

  1. Username: Your NIE
  2. Password:  Set by following these specific instructions


Then either pass this information to your account manager, or you can insert them directly into the "SES WEB Info" area within the "General Settings" from the main menu in your account. Once this has been updated, this will activate the "Pull SES Properties" button in the main "Properties" page in our system.

The "Pull SES Properties" does NOT sync, it only pulls ALL the property data that you have registered in SES Hospedajes, so if you have carried out this action before, you will merely duplicate properties that you have in your sesadmin.net account already, making more work for you and us as we have to delete the new duplicates.

Once we have pulled all your registered properties, we then export them to the Property Spreadsheet Template anyway and share this with you so you can add the additional information we need about the properties for the system to function the best for you, we will create a Google drive folder with 2 x documents:


  1. Our standard email templates for you to edit, but do not delete any of the variable data fields that in in { } brackets
  2. The spreadsheet covers both properties which will go under your own DC & SES Hospedajes details, and or when you add your owners properties using their own DC & SES Hospedajes details.

Account Management

We will provide help via a priority provisioning and help service for property managers, and we will provide you with a dedicated whatsapp messaging service number.
